Terms and Conditions

Please carefully review the following terms and conditions. These apply to both the hirer (client) and Heard The Beat (DJ service provider). This document serves as a legally binding contract between both parties. By agreeing to the contract, both the hirer and Heard The Beat agree to be bound by its contents. Heard The Beat will notify the client once terms have been independently accepted, at which point this agreement becomes legally binding.

To avoid any non-appearances or let downs, all agreements are confirmed upon acceptance of these terms.

Any changes to the contract must be agreed upon by Heard The Beat, and additional fees may apply, which will be confirmed in writing. All hired services and equipment are provided for the specified times only, and the venue must be cleared to ensure services can be delivered in a timely manner. Administrative fees may apply if postponed due to unforeseen circumstances.

Cancellations and Illness No refunds will be provided for cancellations due to illness or other personal reasons, including COVID-19. We will make every effort to find a new date if possible, but refunds will not be given if a suitable alternative date is unavailable.


Fees and Payments

Booking Deposit
To confirm a booking, a non-refundable deposit of £50 is required. This deposit secures the date and is deducted from the total cost. The deposit must be paid at the time of booking to ensure the date is reserved.

Balance Payment
The remaining balance is due at least 30 days before the event date. Payment can be made in instalments for flexibility, but the full amount must be paid before the event. If the hirer cancels after full payment is made, no refund will be issued. However, an alternative date can be discussed if availability allows.


Cancellations

If Heard The Beat must cancel for any reason, a suitable replacement DJ will be provided. If no replacement can be found, a full refund (minus any administrative fees) will be issued. If the client cancels within 6 months of the event, 100% of the fee will still be due. Cancellations between 7 and 16 months before the event will result in 50% of the total fee being payable.


Force Majeure
No fee is payable for dates where the DJ is unable to perform due to events beyond control, such as national mourning, war, strikes, or venue issues.

Insurance
Heard The Beat carries £5,000,000 public liability insurance. Copies of insurance and risk assessments are available upon request.


Venue and Safety Requirements:

The venue will provide Heard The Beat with safe and appropriate working conditions. This includes space for setting up the DJ booth and speakers. The venue must also provide a minimum of one 15-20 amp circuit outlet, three-prong grounded from a reliable power source within 20 feet (along the wall) of the DJ’s setup area. This circuit must be free of all other connected loads. Any delay in the performance due to improper power is the responsibility of the client.


Damages and Liability:

The client is responsible for any damages caused by guests to any equipment provided by Heard The Beat, including but not limited to lighting, speakers, DJ booth, giant letters/numbers, and the starlit dance floor. Any damages will be assessed after the event, and the client will be liable for repair or replacement costs.

Heard The Beat is not liable for personal injury or damage to property resulting from the use of equipment or services at the event.


Equipment Hire & Use:

Dry Ice and Smoke Machines
Dry ice and smoke machines can create a unique atmosphere for your event. Heard The Beat will confirm with the venue whether these effects are allowed. Please note, no refunds will be issued if the venue prohibits their use on the day of the event.

Up lighting (Mood Lighting)
Up lighting must not be moved from the location agreed upon during setup.
Any damages to the lighting equipment will result in the hirer being liable for repair or replacement costs.

Giant Letters & Numbers
The letters/numbers must remain in the agreed position and treated with care. The hirer is liable for any damages.

Sound & Lighting Equipment
All equipment is owned by Heard The Beat and must be returned undamaged. Any defects or damages will be the responsibility of the hirer.


By signing this agreement, you have agreed to the terms and conditions of the service/services you have booked through Heard The Beat. If you have already emailed and booked, this acts as the same as signing and agreeing to our terms/conditions.
